We built our own bespoke EHR and patient intake is a core service for commercial growth:
Referrals and Patient Profile Creation: A Referrals Dashboard manages inbound referrals
from pain clinics, utilizing intelligent algorithms to merge duplicates. It enables one-click
patient profile creation following validation by the intake team.
Patient Profile Management: An unified patient profile interface offers a consolidated
view of crucial information, including referring doctor and their referral documents, patient
demographics, insurance and benefits verification, medical records, and mobile app engagement
data (e.g., login history). Additionally, this interface handles patient consent status and the
management of signed consent documents.
Scheduling: The Scheduling Module automates appointment pairing, considering
compatibility criteria like credentials, payer coverage, and availability. It seamlessly handles
cross time zones, eliminating the need for manual time zone conversion for both patients and
clinicians. The system triggers appointment confirmation notifications via email and SMS. It
supports both single appointments and recurring series, offering conflict detection and
resolution options to optimize scheduling and ensure patients are efficiently matched with the
most suitable clinicians, ultimately enhancing the overall quality of care.
Once a patient is onboarded, they are assigned to one of Lucid Lane's in-house clinicians. To give clinicians more time with patients, another objective of our EHR is remove repetitive administrative tasks
from clinicians, and allowing them to manage their availability through a self-service UI.
By logging into the Lucid Lane EHR, clinicians can manage their schedules through a Google Calendar integration, review their day on a dashboard and review any notifications for overdue paperwork
(clinical notes). This ensured we were not delayed in getting reimbursed by insurance.
To further ensure accuracy, we built a smart clinical note templates system that automatically loads the correct template according to
appointment service type including autofill of the correct CPT codes and preloading it with patient demographic and previously filled data to ensure continuity of care for every patient.
Once an appointment is complete, the forms are automatically routed to the correct clinical leader to sign-off (based on crendentials that each clinician can update on their own in the EHR), then automatically sent to the refering provider in real-time. This instantaneous flow of information is a cornerstone of our EHR.
We built a centralized view of metadata related to patient appointments for the RCM team. This dashboard gives the RCM team timely notifications on billable appointments and audits CPT codes and compares it to the services rendered during individual appointments reducing error rates by 10% when implemented. In addition, the dashboard acts as an additional check on the clinician workflow enabling swift communication with the appropriate individuals for overdue appointment follow-ups.
Referring providers at pain clinics are the anchor in a patient's circle of care. All the data we collect on the patient and any insights we uncover are sent to the provider through a web based portal. The Provider Portal allows referring doctors to refer patients, view patient progress, engagement level with the Lucid Lane program, and download monthly health reports. A clinic level dashboard displays comprehensive statistics across all providers at a clinic, providing insights into overall clinic performance.
